This Privacy Policy explains how InvoiceBot ("we", "our", or "the service"), operated by Citadel Consulting via touls.work, collects, uses, and protects data when you use the InvoiceBot Telegram bot.

What we collect

• Account details — your name, email address, country, and Telegram user ID
• Business details — invoice prefix, logo image, business address, tax registration number, UPI ID, and payment details you provide
• Customer records — names, cities, mobile numbers, and email addresses of customers you add
• Invoice data — line items, amounts, dates, and statuses of invoices you create
• Payment records — subscription amounts, payment method, and transaction IDs you submit

How we use it

• To generate PDF invoices and deliver them to your customers
• To send invoice emails to customers on your behalf
• To manage your subscription and verify payments
• To export your data to Google Sheets when you request it
• To notify you of payment confirmations and subscription status

Third-party services

• Telegram — the messaging platform through which the bot operates. Subject to Telegram's Privacy Policy.
• Razorpay — processes subscription payments for overseas coaches. Governed by Razorpay's Privacy Policy.
• Resend — delivers invoice and receipt emails.
• Google — if you use the Sheets export, invoice data is written to your authorised Google Sheet.

We do not sell, rent, or share your data with any other parties.

Data retention

Your data is retained for as long as your account is active. On deletion request, we remove your account, customers, and invoice records within 30 days. Payment receipts may be retained up to 7 years for accounting compliance.

Your rights

You may access, correct, or request deletion of your personal data at any time. Coaches in the EEA hold additional rights under the GDPR, including data portability and the right to restrict processing.

Security

Data is stored in a secured database on Railway's cloud infrastructure, accessible only to the service operator. Generated PDFs are stored in a persistent private volume.

Contact

This policy applies to all subscription payments made through InvoiceBot, whether via UPI or Razorpay.

Free trial

Every new coach receives a free trial allowing up to 3 invoices to be sent at no charge. No payment is required during the trial period.

Subscription terms

• Subscriptions are billed monthly: Rs. 299/month for India, $9/month for international coaches.
• Each payment grants 30 days of unlimited invoice access from the date of confirmation.
• Subscriptions do not auto-renew — you pay each month when you choose to continue.

Cancellation

You may stop using the service at any time. Because subscriptions do not auto-renew, no cancellation action is required — simply do not make another payment when the current period ends.

Refunds

Exceptions are made for:

• Duplicate payment — charged more than once for the same period due to a technical error.
• Service unavailability — service inaccessible for more than 72 consecutive hours due to a fault on our side.
• Payment error — payment processed for the wrong amount due to a system error.

Refund requests must be submitted within 7 days of the payment date. We do not offer refunds for partial months used or payments made in error after reviewing the price shown in the bot.
